The Roles Tool let you control what each member of your organisation can do in the practitioner portal. You can define your own roles for your organisation and assign them to team members, instead of everyone having the same level of access. A role is a named set of permissions - you decide what each one can do, and you can create as many as you need.
This replaces the old fixed Admin role. If your organisation already had team members, their access has been carried across unchanged, so nothing has changed for them until you decide to customise it.
Before you start
Only the organisation Owner, or a member whose role includes managing roles, can create or edit roles.
The Owner role can't be edited or deleted. It always has full access.
Your organisation starts with suggested roles you can use as-is, edit, or duplicate as a starting point for your own.
Existing members kept the access they already had - nothing changes until you customise it.
Roles control platform access only. They don't define clinical scope of practice.
Step 1: Review your existing roles
Log in to the practitioner portal at app.eirly.health and select your organisation.
Click Settings in the left-hand menu.
Open the Roles tab - you'll see every role that exists in your organisation
Open any of the existing roles by clicking on it to see exactly what it allows
Edit the Name or Description if required
Add or remove capabilities as required for that role
Click 'Save Changes' at the bottom of the page when you're done
Step 1b. Creating a new role, if needed
Go to Settings → Roles.
To create a new role, click the button on the top right hand side ("New Role"), or click on one of the suggested roles to edit or duplicate it.
Give the role a Name, and appropriate description
Select the Capabilities you want to provide permission for, for that specific role by ticking the box next to the relevant capability
Once you've selected all the capabilities you want for that role, click 'Save Changes' at the bottom of the page
Step 2. Assign a role
You assign roles from the Members section.
In your organisation portal, select 'Members' on the left hand menu
Either add or edit an existing member
To add a new member, click 'Invite Member' in the top right hand side
Enter their name and email address
Select the appropriate role (which includes the permissions you have selected in the previous step)
They'll receive an email inviting them to join your organisation, and the role applies as soon as they accept.
A member can hold more than one role, in which case they get the combined permissions of all of them.
